“Seren Arts” refers to Seren Arts Hollywood, operated by Gavin Lee Kantor-Rees, registered in the State of California with a registered address at 1435 N Fairfax Ave, West Hollywood, CA 90046.

Seren Arts is committed to providing a safe, supportive, and nurturing environment for all children. The welfare of the child is our highest priority.

Safeguarding Training

All Seren Arts Hollywood administrators and staff complete child abuse and neglect identification and mandated reporting training in accordance with California law. This is in addition to any broader safeguarding training required by Seren Arts.

All staff are expected to understand their individual safeguarding responsibilities and the procedures for identifying, responding to, documenting, and reporting suspected child abuse or neglect.

Child Disclosure

If a child discloses information relating to abuse (physical, emotional, sexual, or neglect), Seren Arts staff will:

• Listen carefully and remain neutral, allowing the child to speak freely

• Ask only open-ended questions and not ask leading questions

• Avoid making promises they cannot keep

• Reassure the child and calmly explain the next steps

The staff member will document the disclosure accurately and notify the School Manager and/or Safeguarding Lead so that appropriate internal safeguarding action can be taken. Where the disclosure gives rise to a legally required mandated report, the staff member must also make that report directly to the appropriate external reporting agency in accordance with California law. Internal notification must not delay or replace the staff member’s individual reporting obligation.

The School Manager will ensure that the details of the disclosure, including the date, time, location, and individuals present, are documented appropriately and that any necessary internal safeguarding measures are taken.

Mandated Reporting

All Seren Arts Hollywood staff are mandated reporters under California law and are legally required to report known or reasonably suspected child abuse or neglect.

The duty to report is individual. A staff member who knows or reasonably suspects that a child has been the victim of abuse or neglect must make the required report directly to an appropriate external reporting agency in accordance with California law.

Reporting a concern internally to the School Manager, Safeguarding Lead, another member of staff, or any other person does not replace or satisfy a mandated reporter’s legal obligation to make the required external report.

Seren Arts encourages staff to notify the School Manager and/or Safeguarding Lead of safeguarding concerns so that appropriate internal safeguarding measures can also be taken. However, no internal Seren Arts procedure, manager, administrator, or member of staff may impede, inhibit, delay, or replace an individual’s mandated reporting responsibilities.

Staff Observations & Safeguarding Concerns

If a member of staff knows or reasonably suspects that a child may be experiencing abuse or neglect, they must:

• Make the required report directly to an appropriate external reporting agency in accordance with California mandated reporting requirements.

• Document the safeguarding concern accurately and appropriately.

• Notify the School Manager and/or Safeguarding Lead so that appropriate internal safeguarding action can also be taken, provided doing so does not delay or interfere with the staff member’s individual legal reporting obligation.

The School Manager and Safeguarding Lead will ensure that appropriate internal safeguarding procedures are followed. Internal review or consultation must never be used as a substitute for, or cause a delay in, a legally required external report.

Two-Adult Safeguarding Standard

To the greatest extent possible, Seren Arts Hollywood requires the presence of at least two mandated reporters whenever administrators, employees, or volunteers are in contact with or supervising children.

Seren Arts structures its teaching, supervision, arrival, dismissal, and other student-facing activities with this safeguarding standard in mind. Where circumstances make the presence of two mandated reporters temporarily impracticable, staff must continue to follow all Seren Arts safeguarding procedures and applicable California reporting requirements.

Allegations Against Staff

If an allegation is made against a Seren Arts staff member:

• The individual may be suspended or removed from duties pending investigation

• Seren Arts will follow all applicable legal and safeguarding procedures

• Appropriate external authorities will be contacted where required

All Seren Arts Hollywood staff must be aware of and have access to local reporting authorities.

Reports of suspected child abuse or neglect must be made immediately or as soon as practicably possible to DCFS as required by California law.

An initial mandated report must be made by telephone immediately or as soon as practicably possible, followed by the required written report within 36 hours, in accordance with California law.

Emergency Situations:

If a child is in immediate danger, staff must call 911 or contact Los Angeles Police Department.

CONFIDENTIALITY & RECORD KEEPING

All safeguarding concerns, disclosures, and reports will be:

• Documented accurately and stored securely

• Shared only with relevant authorities and safeguarding personnel

• Handled in accordance with confidentiality and data protection standards
